1. Introduction

At Wytmode Cloud, we operate as a remote-first and cloud-native company. In line with this, we follow a Bring Your Own Device (BYOD) policy that allows employees, contractors, and interns to use their personal laptops or desktops to perform their work duties. This policy enables greater flexibility, faster onboarding, and reduced operational overhead while ensuring team members are empowered to work from wherever they are.

This document outlines the expectations, requirements, responsibilities, and limitations associated with BYOD usage for all individuals engaged with Wytmode Cloud.

2. Purpose

The primary purpose of this policy is to ensure that all personal devices used for Wytmode-related work meet minimum security, performance, and compliance standards. It is also intended to safeguard company data, prevent misuse of resources, and promote responsible device management in a distributed, remote work environment.

3. Scope

This policy applies to all individuals engaged with Wytmode Cloud who are expected to use a personal device for work purposes. This includes but is not limited to:

  • Full-time employees
  • Contract employees
  • Interns
  • Freelancers and consultants

4. Device Eligibility & Minimum Requirements

All personal devices used for Wytmode work must meet minimum technical requirements based on the employee's role. These specifications will be shared during the hiring or onboarding process and may vary by department (e.g., Engineering vs. Sales).

General Minimum Requirements:

  • Operating System: Windows 11 / macOS Catalina or later / Ubuntu 20.04+
  • Processor: Intel i5 / Ryzen 5 or equivalent (minimum)
  • RAM: 8 GB (16 GB recommended for development roles)
  • Storage: 256 GB SSD or higher
  • Internet: Stable broadband with minimum 20 Mbps speed
  • Security: Active antivirus, system firewall enabled

Employees whose devices do not meet the minimum requirements may be disqualified from certain roles or onboarding until the issue is resolved. Wytmode does not currently offer devices or hardware reimbursements under this policy.

5. Security & Compliance Guidelines

All personal devices used to access Wytmode systems must comply with standard cybersecurity hygiene and company-specific IT security protocols:

  • Devices must be password protected or secured with biometric authentication
  • Operating systems must be up-to-date with latest security patches
  • Devices must have an active antivirus or endpoint security solution installed
  • Employees must avoid using public Wi-Fi without VPN when accessing sensitive systems
  • Any suspected data breach, malware incident, or theft of device must be reported immediately to HR and IT
  • Employees are prohibited from downloading or storing company IP or confidential data on external hard drives, personal cloud accounts, or unapproved devices

Wytmode reserves the right to audit security compliance through routine checks or by requesting screenshots/logs if required for incident response.

6. Approved Usage

The BYOD policy covers work-related usage only. Employees are expected to:

  • Use their device for accessing company systems, tools, and files as part of their role
  • Access Wytmode-approved platforms such as Microsoft 365, Teams, Notion, Slack, Zoom, etc.
  • Maintain separation between personal and work data by using different browser profiles or work-specific system accounts where applicable
  • Not install or use pirated software, cracked tools, or unauthorized applications for work-related tasks

Use of personal devices for work should never compromise company data integrity, security, or performance.

7. Company Support

Since devices are personally owned, Wytmode’s IT and support team will offer limited assistance, such as:

  • Troubleshooting access to company platforms
  • Setting up Microsoft 365 or configuring email
  • Installing approved tools or SaaS logins

However, Wytmode does not provide support for hardware failures, operating system errors, or performance issues unrelated to work access. The responsibility for maintaining the health and availability of the personal device lies with the individual.

8. Responsibilities of the Employee

Employees who participate in Wytmode’s BYOD model are expected to:

  • Ensure that their device remains in good working condition and is available during all working hours
  • Avoid sharing their device with unauthorized users while logged into company systems
  • Back up important work data regularly to company-approved cloud systems
  • Report any system compromise, breach, or unauthorized access immediately
  • Log out of all company accounts when not in use or when switching devices

Violation of these responsibilities may result in access restrictions, disciplinary action, or termination of engagement in extreme cases.

9. Data Ownership & Privacy

All data created, stored, or processed using Wytmode systems remains the intellectual property of Wytmode Cloud, even if accessed or stored on a personal device. Upon termination or resignation, employees must:

  • Remove all company-owned documents, data, tools, and software from their personal device
  • Return any shared access credentials or tokens
  • Cooperate with any data handover or retrieval requirements defined during offboarding

Wytmode respects employee privacy and will never monitor personal files or unrelated applications. However, the company reserves the right to request logs, session histories, or perform audits on work-specific systems and tools accessed via the personal device.

10. Policy Violations

Any violation of this BYOD policy—whether intentional or accidental—will be reviewed by the HR and IT teams. Depending on the severity, action may include:

  • Written warnings
  • Revocation of access to Wytmode systems
  • Removal from the current role or project
  • Legal action if company data or IP is intentionally compromised

Wytmode expects all employees to approach BYOD usage with the same care and discipline as they would with company-owned infrastructure.

11. Conclusion

This BYOD policy is subject to change at the discretion of Wytmode Cloud’s leadership and may be revised in part or full to reflect new technology, compliance laws, or operational needs. All employees will be notified of any changes in advance through official channels.
